Knowledge sources

The AI answers from what you give it. Add websites and connected tools under AI & Answers → Knowledge sources; upload files and write articles under AI & Answers → Knowledge Base.

Before you start

  • Difficulty: Easy
  • Time: 10 minutes
  • You need: An admin or owner account
  • You need: For a connector: an API token or integration secret from that tool

Steps

  1. Add your website

Enter the site address. ZChat reads its sitemaps (sitemap.xml, sitemap_index.xml, wp-sitemap.xml and the Sitemap lines in robots.txt), then follows links on the same host. Narrow it with include and exclude patterns: * matches anything, a pattern without * matches as a prefix, and exclude wins over include. A page limit per website is optional.

  2. Connect a tool

Pick Notion, Zendesk Help Center, Confluence, Intercom Articles, or Web pages & RSS feeds, paste its credentials and save. Credentials are encrypted and never shown again.

  3. Upload files

In Knowledge Base, upload .txt, .md, .csv, .docx, .pdf, .pptx, .xlsx or .html files, or .png, .jpg and .webp images, up to 10 MB each. Each file becomes a draft article you review and publish. Images and scanned PDFs need OCR, which needs an OpenAI key on the workspace.

  4. Choose a re-sync schedule

Each website and connector re-syncs Off, Weekly (the default) or Daily. Daily re-sync is on paid plans; the free plan offers Weekly or Off. A workspace that moves to the free plan keeps its sources, and a daily one falls back to weekly.

Every source

  • Website: The site address, optional include/exclude patterns (up to 20 each) and a page limit. Re-syncs fetch only changed pages and remove a page after it is gone on two syncs in a row.
  • Notion: An integration secret from notion.so/my-integrations. Imports the pages and databases shared with that integration.
  • Zendesk Help Center: Your subdomain; optionally an agent email and API token to include restricted articles (cited by title only), and section ids. Drafts are skipped.
  • Confluence: Your site (acme.atlassian.net), an account email and an API token; optionally space keys. Imports current pages.
  • Intercom Articles: An access token from the Intercom Developer Hub and your region (US, EU or AU); optionally collection ids. Imports published articles.
  • Web pages & RSS feeds: Up to 50 public page or RSS/Atom feed URLs. One article per page or feed item.
  • One-off imports: A Google Docs, Sheets or Slides link, YouTube captions, a single URL, Q&A pairs or bulk Markdown, from Knowledge Base. These do not re-sync on a schedule.

Good to know

  • Limits are the same on every plan: 60 pages per sync for each website, up to 10 website sources, 100 documents per sync for each connector, and 200 articles per workspace across all sources.
  • A failed sync changes nothing, so an outage or a revoked token never empties the knowledge base. Disconnecting a source removes its articles.
  • Freshdesk is not a knowledge connector today.
