Healthcare & PHI

Self-hosted live chat for HIPAA-regulated teams

Healthcare conversations can carry protected health information, and sending them to a third-party chat cloud is a problem. ZChat is self-hosted, so PHI can stay entirely on your own servers and network. It won't make you HIPAA compliant by itself - nothing can - but it puts the data and the controls in your hands.

PHI stays on your infrastructure

Conversations, visitor records, and transcripts live in your own SQL Server, inside your network or private cloud. There is no third-party chat vendor holding the data, which removes an entire class of exposure and access questions.

AI without sending PHI out

Run the chatbot on a local Ollama model and prompts never leave your network - the AI can help without PHI going to an external provider. If you choose a hosted model, you connect it with your own keys and handle the agreement directly.

Controls that support safeguards

Role-based access, an audit log of admin and operator actions, HTTPS transport, IP blocking, and data export/erase give you technical controls to build on - deployed and operated under your own policies.

How self-hosting supports HIPAA Security Rule safeguards

ZChat provides tools; you deploy and operate them under your own compliance program.

Safeguard area How self-hosted ZChat helps
Access control Agent accounts and administrator roles, plus per-IP login lockout, all on your own server
Audit controls A log of admin and operator actions you can review and export
Transmission security Runs behind your HTTPS/TLS so chat traffic is encrypted in transit
Data location & storage PHI stays in your own SQL Server; you apply your encryption-at-rest and backups
Individual rights & retention Export and erase/anonymize records; set your own retention directly in the database
Third-party exposure No chat SaaS vendor holds PHI; a local AI model keeps prompts on-premise too
Be clear about responsibility

A tool that supports your controls - not a certification

Self-hosting removes the third-party-cloud problem and gives you the technical building blocks, but HIPAA compliance is achieved by your organization through administrative, physical, and technical safeguards, staff training, risk assessment, and appropriate agreements. ZChat is one piece of that program, deployed and operated under your policies.

ZChat provides

Self-hosting, access control, audit logging, encryption in transit, data export/erase, and an on-premise AI option.

You own

Deployment, encryption at rest, backups, staff access policies, risk analysis, and any agreements with providers you connect.

Is ZChat HIPAA compliant?
No software is HIPAA compliant on its own - compliance depends on how an organization deploys, configures, and operates it. Because ZChat is self-hosted, you can keep all PHI on your own infrastructure, which helps you meet the Security Rule's safeguards. Achieving and maintaining compliance remains your organization's responsibility.
Where does PHI go when using ZChat?
Into your own server and SQL Server database - not a third-party chat cloud. Because you host ZChat, conversations that may contain PHI stay on infrastructure you control. If you run the AI chatbot on a local Ollama model, the AI processing stays on-premise as well.
Do I need a Business Associate Agreement with ZChat?
Because you self-host, ZChat the vendor does not receive, store, or process your PHI, which is different from a typical SaaS arrangement. If you connect a hosted AI provider like OpenAI or Anthropic, you would handle any required agreement with that provider directly. Confirm your specific obligations with your compliance and legal teams.
Can the AI chatbot be used without exposing PHI to a third party?
Yes. Run the chatbot on a local Ollama model and prompts never leave your network, so PHI is not sent to any external AI provider. The bot still answers grounded in your own knowledge base.

This page is general information, not legal or compliance advice. ZChat is software that can support your safeguards; achieving and maintaining HIPAA compliance is your organization's responsibility. Consult your own compliance and legal counsel for your specific requirements.
